Adding Metadata


You can add metadata, or additional descriptive information, to your files and folders in your Permanent archive. Files and folders have metadata fields for the name, description, tags, date, and location. You can find this information by clicking on the file or folder and looking under the Info tab on the right side. This article will walk you though adding and editing metadata.




Name

The names of your files and folders in your Permanent archive default to the name of the file or folder you uploaded. You can edit the name of a file or folder by clicking on the file or folder you wish to change, then clicking the text under Name in the Info tab on the right side of your workspace. Once you type in the name of your file or folder, click Save. You can cancel the change by clicking Cancel. Although you can change the name of your file or folder, Permanent retains the original file name in the background. 



Description

Each file or folder has a Description field, where you can add descriptive information about that file or folder. To edit the Description field, click the space below the Description header in the Info tab. Type in your description, then click the Save button. You can go back and edit the Description field by clicking the text below the Description header. Always remember to click the Save button after making changes!



Tags

The Tag metadata field allows you to add tags to files or folders. You can use the same tags across your archive or archives to designate a subject, person, location, or any other information that helps you find and organize your files. 

To add a tag, click the "Click to add tags" text under the Tags heading in the Info tab. A popup will appear where you can type in a new tag. When you've created a tag, click the Add button and the tag will appear as a colored box. You can add as many tags as you would like. When you are finished adding tags, click the Done button.



To add additional tags, click one of the colored tags. A new drop down will appear where you can type in a new tag or select from tags you already have in your archive. When you are finished adding additional tags, click the Done button.



Date

The Date field for files and folders default to the date the file or folder was created. For instance, if you took a photograph on June 21st, 2021, the date will default to 2021-06-21 and the time that the photograph was taken. Sometimes, it is helpful to change the date for your file or folder in Permanent because the creation date does not accurately represent the file or folder, or it is incorrect. 

To change the date of your file or folder, click the text underneath the Date header in the Info tab. A calendar will appear where you can select the month, day, and year for the file or folder, as well as edit the time. When you are finished changing the date and time, click Save. 

At this time, all dates must have a year, month, date, hour, minute, second, and AM/PM designation. We are working on adding functionality to the Date metadata field so that some of those designations are optional to accommodate files and folders for which dates and times may be unknown or less specific.


















Location

The Location metadata field allows you to tag locations for your files and folders using Google Maps. To set a location for a file or folder, click the "Click to set location" text under the Location heading in the Info tab. 



A new window will appear where you can search for a location or address. Once you have found the correct location, click the Save button.





The Location field will now show the location or address you have selected and a map of the location from Google Maps. To edit the location, click the map and a new window will open where you can edit the location. Make sure to save your changes when you are finished.
