There are three ways to publish a file in your archive to your Public Gallery page:
Read on for step-by-step instructions for publishing through the publish button, moving the file, and uploading directly to Public.
To publish a file using the Publish button, open the action menu for the file or folder you wish to publish in your Private Workspace by tapping the menu icon to the right of the file or folder name.
Tap the "Publish" button on the menu. A dialog box will appear that asks you to confirm that you wish to publish the item.
Please note that files that you publish from your Private Workspace will exist in both your Private Workspace and your Public Workspace. This means that each copy of the file goes towards your total storage count.
Publish by Moving the File
To move a file between the Private Files workspace and the Public Files workspace, tap the three dots next to the item, then select "Move to another location."
You'll see the menu collapse and a new module at the bottom of your screen. You can now navigate to the location you'd like to move the file to. To move the file to your Public Files workspace, tap the archive menu in the top left corner, then tap Public Files. Once you're in the Public Files workspace, tap the "Move Here" button at the bottom of your screen.
A confirmation will pop up. Tap "Move Here" again to confirm that you'd like to publish the file. It will now show up in your Public Files workspace and on your archive's Public Gallery page.
Publish by Uploading to Public
To upload directly to your Public Files workspace, navigate to the workspace by tapping the archive menu in the top left corner of your screen, then tap Public Files.
When the Public Files workspace opens, tap the plus (+) button to begin an upload. A new pop up will appear to confirm that you'd like to upload to a public location. Tap "Upload," then follow the guided instructions to take a photo or upload a file from your device.
Which publish option is best?
Use the Publish button if you...
- Want to redact certain pieces of metadata that may contain personal information
- Want a separate copy in each workspace
- Don't mind using twice the amount of storage (because there are two separate copies of the file)
Move the file to your Public Files workspace if you...
- Only want one copy of the file in your archive
- Do not want to use double the amount of storage
- Do not need to redact any metadata before it's published
- Want to make edits to the metadata in private first before you publish it to your Public Gallery page
Upload directly to your Public Files workspace if you...
- Want to publish them immediately
- Don't mind updating metadata while the file is published
- Do not want to use double the amount of storage
- Do not need to redact any metadata before it's published
