How to Publish a File or Folder

Publishing a file or folder creates a publicly viewable copy of the item on your Public Gallery page. These files are available for anyone on the internet without a Permanent.org account to view.
There are three ways to publish a file in your archive to your Public Gallery page:
  1. Publish button: creates a publicly viewable copy of the file in your Public Files workspace. This copy is separate from the original copy and changes made to either copy are not updated on the other copy
  2. Move the file to your Public Files workspace: moves a file you already have from your Private Files workspace to your Public Files workspace
  3. Upload directly to your Public Files workspace: navigate to your Public Files workspace and directly upload your files there. This makes them immediately available on your archive's Public Gallery page

Publish Using the Publish Button

To publish a file, select the file you wish to publish in your Private Files workspace by clicking it once to highlight it.



Click the "Publish" button on the toolbar at the top of the screen. A dialog box will appear that asks you to confirm that you wish to publish the item. 



Once you publish an item, we make a copy of it in your Public Workspace of your Permanent Archive. You can manage your new publicly shared files in your Public Workspace. Files and folders in your Public Workspace are featured in your Public Archive and are publicly viewable on the internet.

Please note that files that you publish from your Private Files workspace will exist in both your Private Files workspace and your Public Files Workspace. This means that each copy of the file goes towards your total storage count. 

Publish by Moving the File

To move a file between the Private Files workspace and the Public Files workspace, click on the file to select it, then click the Move button.


A new window will appear for you to select where to move the file. Click "Public," then select the location within the Public Files workspace you want to move the item to. Tap "Move" when you're ready to move the item.


A confirmation will pop up. Click "Yes" to confirm. It will now show up in your Public Files workspace and on your archive's Public Gallery page.





Publish by Uploading to Public

To upload directly to your Public Files workspace, navigate to the workspace by clicking Public Files on the left side of the screen.

When the Public Files workspace opens, click the Upload button to select a file from your device. Alternatively, you can drag and drop a file from your device into your Public Files Workspace. This will begin the upload. A new popup will appear. To confirm the upload, click "Upload to public."



Which publish option is best?

Use the Publish button if you...
  1. Want to redact certain pieces of metadata that may contain personal information
  2. Want a separate copy in each workspace
  3. Don't mind using twice the amount of storage (because there are two separate copies of the file)
Move the file to your Public Files workspace if you...
  1. Only want one copy of the file in your archive
  2. Do not want to use double the amount of storage
  3. Do not need to redact any metadata before it's published
  4. Want to make edits to the metadata in private first before you publish it to your Public Gallery page
Upload directly to your Public Files workspace if you...
  1. Want to publish them immediately
  2. Don't mind updating metadata while the file is published
  3. Do not want to use double the amount of storage
  4. Do not need to redact any metadata before it's published
