For Archive Stewards

This article will explain the role of an archive steward and provide information about the responsibilities of an archive steward.

Thank you for playing an important role in your loved one's legacy plan. A legacy plan on Permanent.org is the instructions for what should happen to your loved one's materials on Permanent.org after their passing or permanent incapacitation.

You have been designated as an archive steward for one of your loved one's archives on Permanent.org. An archive steward is the person who will become the owner of one of your loved one's archives on Permanent.org in the event of your loved one's death or permanent incapacitation. Once Permanent.org is notified of your loved one's passing, we will enact the legacy plan they have set up in their account for their archives, and you will take ownership of one or more of your loved one's archives.

You should have received an email notifying you that you have been designated as an archive steward. Please save this email so you can refer back to it when the time comes to act in your role as an archive steward.

As an archive steward, your responsibility is to take ownership and maintain your loved one's archive when your loved one has passed or become permanently incapacitated.

Once Permanent.org has been notified of your loved one's death or incapacitation by the legacy contact, you will receive an email letting you know that it is time to take ownership of your loved one's archive. In this email, you will find instructions for becoming the owner of the archive. Your loved one may have also left you a note with instructions on how they want their archive cared for once they have passed. They may have also shared this information with you verbally before their passing. 

Once you have taken ownership of your loved one's archive, your role is to maintain the archive in accordance with their wishes. This may include continuing to build and preserve material in the archive, publishing the archive, or deleting the archive. In the future, when you are thinking about creating your own legacy plan, you will be able to designate an archive steward to take over the archive in the event of your death or incapacitation.
