Gifting an Archive to Another Person

Gifting, or transferring, an archive to another person involves making the recipient's account the owner of the archive. When an archive you own is transferred to another Permanent account, your account becomes a manager of the account. Learn more about archive member roles here.

This article walks through how to gift an archive to someone who does not have a Permanent account yet and how to gift an archive to someone who already has access to the archive.

Gift to someone who does not have a Permanent account

To gift an archive you have created to someone who does not have a Permanent account, navigate to the Archive Member manager by clicking the drop down menu to the right of the archive's name, then clicking "Archive Members."

 

In the new window that opens, click "Add Member." This will open a new window. Enter the email address of the recipient of the archive, then select "Owner" as the access role. 


Once you have clicked "Ok," a pop up will appear that explains the transfer process. Your account will be demoted to a Manager of the archive, while the person you are inviting will become the Owner. You will retain ownership of the archive until the recipient joins the archive. If you would like to proceed with the transfer, click "Transfer ownership."


Because you are inviting a new person to join Permanent, you'll need to enter their name in order to send the invitation to join Permanent and accept ownership of the archive. Enter their name, then click Invite. 


This will send an emailed invitation to the invitee, where they will be led through the process of creating a Permanent account and accepting the invitation to the archive. You'll now see their name and email in the Pending Members tab of the Archive Members manager. If you need to cancel the invitation, you can click the "Remove" button next to their name. Please note that at this time, you are unable to change the role of a pending archive transfer. If you decide to change the role of the person you invited, you will need to remove the transfer invitation and create a new invitation for their new access role.


Once the invitee has accepted the invitation, you will receive a notification that the invitation has been accepted, and you will automatically be assigned the role of Manager in the archive.

Gift to someone who has access to the archive

To gift an archive you have created to someone who already has access to your archive, navigate to the Archive Member manager by clicking the drop down menu to the right of the archive's name, then clicking "Archive Members."

 

In the new window that opens, find the email address of the person you want to become owner of the archive. Next to their name, click Edit.  



A new window will appear where you can edit their access level. Open the drop down, click Owner, and then click Ok. 



Once you have clicked "Ok," a pop up will appear that explains the transfer process. Your account will be demoted to a Manager of the archive, while the person you are inviting will become the Owner. You will retain ownership of the archive until the recipient joins the archive. If you would like to proceed with the transfer, click "Transfer ownership."


The person you have invited to become the owner will receive a notification via email that you are transferring the archive to them. They will need to accept that invitation to be set as the owner of the archive. Please note that they may temporarily lose access to the archive until they accept your invitation. Once they have accepted the invitation, your account will automatically be set as a Manager.

Gift to someone who has a Permanent account, but is not a member of the archive yet

To gift an archive you have created to someone who already has a Permanent account, but does not yet have access to the archive you're gifting, navigate to the Archive Member manager by clicking the drop down menu to the right of the archive's name, then clicking "Archive Members."

 

In the new window that opens, click "Add Member." This will open a new window. Enter the email address of the recipient of the archive, then select "Owner" as the access role.
